It's Party Time! What to Expect
Get Ready For Some FUN!
When you have your party at Arena Sports, we’ll do everything we can to make your party easy and stress-free, while also giving you exciting atmosphere for your celebration. With every party, we strive to deliver high-energy activities and on-field coaching that is age appropriate. To help make sure your party is the best it can possibly be, we’ve outlined a few things you’ll need to know below. Complimentary Invitations
Within this package, you’ll find 15 complimentary invitations to use for your party. Please note: if you need more than15, they cost $1 each. However, if you order a party for more than 15 people you’ll receive an additional 15 invitations at no charge.
Pre-Party Communication
Three to four days before your celebration, we’ll call to find out how many participants you are expecting. Please note: Our child:coach ratio is 8:1 for ages 4 and under (plus the birthday child - means 9 party participants), and 15:1 for ages 5 and older (plus the birthday child - means 16 party participants). An additional coach/referee is available for an additional charge. In all cases, there is a maximum of 25 party participants. If your party size exceeds our child:coach ratio we require 96 hours notice.
Party Day!
To make sure your party starts on time, please have your guests arrive a few minutes early. We have lots of spaces to help stage everyone until your field and party room are available. On the field, the coach will follow a special curriculum but special requests can be worked in. Please note: the party room is yours after your field time. Before that, you’ll have a designated area for gifts. If there is a party before yours, party cleanup will begin approx. 10 minutes before your party exits the field. Once cleanup is done, you will be allowed into the party room to prepare.
Food Packages/Beverages/Plates/Cups/Napkins/Utensils/Table Covers
We’ve negotiated party food packages with several local vendors to make it easy for you. Simply give us a call to let us know what you’d like to order from our list of options, pay us with a credit card and we’ll do the rest. In addition, we’ll provide you with white table covers, paper plates, cups, napkins and plastic utensils. Please note: For insurance purposes, you may not bring outside food or drinks into our facility, except for cake and ice cream. We also require 48 hours notice for all food orders.
Waivers Are Required
Each complimentary invitation includes an injury waiver form. For insurance purposes, every guest is required to bring in a signed waiver. If the participant is under the age of 18, the waiver must be signed by a legal parent or guardian. Please Note: guests may not participate without a signed waiver. We realize things do get forgotten, so we do have extra waivers on site.
Cancellation/Reschedule Policies
Things change. We understand. However, by taking your reservation we exclude others from that spot - regardless of whether you host your party on that day, cancel or reschedule. Therefore, if you cancel with less than 15 days notice, there is a $75 cancellation fee. Rescheduling is possible too, but there is a $75 rescheduling fee if you reschedule with less than 15 days notice.
Post-Party Evaluation Form
We appreciate your feedback and would like to know what went well and what we can improve on. After the party, please take a few moments to fill out the online evaluation form that will be sent to you or can be found here.
Do You Accept Gratuities?
Gratuities are not expected, however, if you find that we have exceeded your expectations, we would greatly appreciate your referral to friends and family. Gratuities are completely at the discretion of the guest, and if you choose to give your host/coach a gratuity, it would be much appreciated.
